Planning office cleaning outside working hours
Cleaning outside working hours can be convenient only if the practical arrangements are clear. An empty office does not automatically mean the cleaning team can enter, use elevators or reach the agreed rooms. Before requesting an evening or early appointment, coordinate the building requirements with your own team’s access procedures.
Confirm the permitted working window
Ask management when service providers may enter and whether elevators, loading access or particular floors have restrictions. Allow for the tasks in the agreed scope rather than assuming any available slot will be sufficient. Share your requested hours with JPN Cleaning before booking. Out-of-hours coverage, staffing and any related costs are reviewed individually; a request does not reserve a crew.
Name an access contact
Identify who will arrange entry, answer access questions and handle the agreed closing procedure. Provide sensitive entry details directly through the booking conversation, not in a public checklist. Discuss how unexpected changes will be communicated. If the building needs insurance documentation or other paperwork, send the requirements in advance so we can confirm whether they can be met.
Prepare the space for an unattended visit
Tell staff what needs to be cleared and identify rooms that should remain closed. Record no-touch instructions for documents, equipment, displays and personal items. Share approved product or finish-care instructions where relevant. Cleaning staff should not have to guess whether an occupied desk or specialist device is part of the task list.
Agree the morning review
Choose a person who will check the completed scope and report any missed items. If completion photographs or a report are needed, discuss permission and availability before service. Keep the review focused on agreed tasks. When requirements change, update the brief and confirm any effect on timing or pricing rather than treating a new task as automatically included.
