How to compare commercial cleaning quotes fairly

The lowest quote is difficult to judge if the proposals cover different work. Before comparing prices, put each company’s offer against the same brief: rooms, tasks, frequency and working hours. This does not mean a more expensive service is automatically better. It means you can see what each price actually buys.

Give providers the same starting brief

Include the space type, approximate area, address or ZIP code, typical use and priority areas. Explain the access window and the cleaning frequency you want reviewed. Identify delicate finishes and no-touch items. If you are still deciding between a one-time visit and recurring service, say so rather than presenting them as interchangeable requests.

Compare the included work line by line

Check whether each proposal covers the same floors, accessible surfaces, restrooms and shared kitchen areas. Look for any task mentioned only in one proposal. Ask about requested extras and responsibilities for consumables or waste handling. A short price with no scope is not necessarily wrong, but it needs clarification before you can meaningfully compare it with a detailed offer.

Check scheduling and exclusions

Confirm whether the quoted working window is available and whether building requirements can be met. Ask about applicable tax and how extra work would be approved. Specialist treatments, heavy moving or other tasks outside the written scope should not be assumed. JPN Cleaning confirms feasibility, the agreed tasks and pricing after reviewing the request.

Understand how the working relationship will run

Identify the contact for questions, how missed items should be reported and how changes to the scope or schedule are handled. If you need a walkthrough or an ongoing arrangement, include that in your enquiry. For a completion report or photographs, request them beforehand so availability and permissions can be checked. Keep the confirmed brief with your quote for future review.
