Hosting an office reception: cleaning before the event and before work resumes
Plan an office reception reset around guests, occupied workstations, catering removal and the next working day.
Treat the event as a change to normal office use
An office reception can put food, drinks and visitors into spaces normally used for work. Your recurring office-cleaning scope may not cover the extra rooms, waste or timing. Before the event, identify which parts of the workplace will be used and what must be ready for employees afterward. Tell the provider about the event rather than expecting the usual visit to absorb a significantly different job without discussion.
Separate pre-event presentation from post-event cleaning
Before guests arrive, you may want attention on reception, meeting rooms, accessible bathrooms and the route between them. Afterward, the priorities may shift to the catering area, floors and removal of agreed waste. List the two stages separately and clarify whether you need support during the event. The provider needs to assess each stage; booking an end-of-night visit does not automatically reserve staff for spills or bathroom checks while guests are present.
Protect the parts of the office that remain private
Mark workstations, records rooms, equipment and other areas that guests and cleaners should not enter or handle. Put confidential papers away before preparation begins. If a meeting room contains technical equipment, identify who is responsible for packing it down. Cleaning should not involve disconnecting systems or moving business records unless a suitable task has been specifically agreed. Keep access arrangements under the control of the authorized office or building contact.
Coordinate catering and furniture removal
Ask the catering and event teams when they will clear food, utensils and equipment. Establish who returns desks or furniture to their normal arrangement and whether the cleaning provider has accepted any movement tasks. A floor cannot be fully addressed while every area is blocked by equipment waiting for collection. If vendors will leave items overnight, explain their location and agree what can still be completed before the office reopens.
Define the morning-ready result
List the spaces that must be available when staff return, and agree a completion window that fits access and vendor clearance. If the event overruns, use one contact to discuss the effect on the plan. Do not assume a fixed deadline remains achievable after an unplanned delay. Send JPN the event location, layout, guest count, service stages and next-day opening time. Ask for a proposal distinguishing normal office work from the additional event scope and confirming availability.
