Office cleaning costs in NYC: what determines your quote?

An office cleaning price is useful only when you know what it covers. Two spaces with the same floor area can require different work because of occupancy, shared facilities, furniture and permitted cleaning hours. JPN prepares commercial quotes individually; this guide explains what to send and how to compare the resulting proposals.

The short answer

There is no published flat office rate on this page. JPN reviews the space, tasks, frequency and access before confirming a price. For a useful estimate, send the address or ZIP, approximate cleanable area, restroom and kitchen details, occupancy, desired schedule and any extra work. Residential starting prices do not apply to office cleaning.

Describe the areas to be cleaned

Give the approximate usable area and identify reception, workstations, meeting rooms, kitchen and restrooms. Explain what is excluded, such as locked offices or storage rooms. Note whether desks will be cleared and which surfaces must not be touched. A floor plan or non-sensitive photographs can help describe layout; remove documents and personal information before sharing images.

Separate the first appointment from the recurring quote

An office that needs an initial deep clean may require a different scope from its later maintenance visits. Ask for these to be distinguished in the proposal. Record periodic tasks separately too, so an attractive recurring price does not hide work you expect but have not requested. Frequency alone does not define which tasks are included.

Explain occupancy and timing

A hybrid office may be busy on only some days, while a showroom may need attention around appointments. Share that pattern and the permitted working window. After-hours work, access procedures and requested frequencies need review before availability or price can be confirmed. Tell us about elevator bookings, front-desk admission and any documentation the building requires; do not assume those requirements are already satisfied.

Compare monthly totals using actual visits

If a proposal is priced per visit, multiply that amount by the scheduled visits in the billing period, then add agreed periodic work and applicable tax. For a monthly proposal, check the visit count, task list and exclusions it covers. Ask how an extra visit, holiday or scope change will be handled. Do not compare a per-visit amount with a monthly total as if they were the same service.

Use a scope example instead of an invented market average

Consider two hypothetical offices of equal floor area: one has light attendance and a small kitchenette; the other has frequent visitors, several restrooms and a tightly restricted evening access window. Their cleaning briefs are different even before pricing. For your own comparison, send the same brief to each provider and ask each to identify exclusions. This is more informative than applying an unsupported price per square foot.

Confirm what a quote does not include

Ask separately about carpet extraction, specialist floor treatment, exterior windows, high-access work, hazardous material and removal of large items. Listing a task in your request does not confirm that JPN can provide it. We review requested extras and explain the agreed scope before booking. Keep a named contact for changes and a written task list for checking completed work.

Common questions

Can you quote from square footage alone?

Square footage is a starting point, but the room mix, use, condition, frequency and access also need review.

Does JPN publish a minimum office-cleaning price?

This guide does not publish a minimum or a market-average rate. Request a tailored commercial quote for the actual space and tasks.

Can I request service in Brooklyn or Jersey City too?

Yes. Send the location and brief through the commercial enquiry form; address coverage and availability are confirmed individually.

Make it your own

A brief you can use

Location: __. Approximate cleanable area: __. Rooms, restroom fixtures and kitchen: __. Attendance and visitors: __. Requested frequency: __. Allowed working hours: __. Initial condition and periodic extras: __. Building requirements and contact: __.

Adapt these planning fields before requesting a quote. Keep entry codes and other sensitive access details out of public documents.
