Post-event cleaning, breakdown and waste removal: who does what?

Cleaning, event breakdown and waste removal are related tasks, but they are not the same service. If nobody has assigned responsibility for furniture or decorations, cleaners may arrive to find the agreed floors and surfaces still inaccessible. Build a responsibility list before the event so each vendor knows what must happen next.

Define the cleaning scope

Post-event cleaning can be discussed around agreed floors, restrooms and accessible surfaces after guests leave. State which rooms are included and whether some areas must remain undisturbed. Tell us about food and drink service and the expected condition of the venue. The final scope, staffing, hours and price are confirmed after the brief is reviewed.

Assign breakdown to a named party

Identify who removes decorations, packs production equipment, manages catering items and prepares rentals for collection. Dismantling and moving heavy items are not automatically included in a cleaning request. If a supplier will remain on site, include their expected finish time. Cleaning access should follow the actual availability of each area, not just the advertised event end time.

Explain the waste arrangements

Tell us where the venue permits on-site waste to be placed and who manages collection. Include the expected volume and any venue-specific sorting requirements. Do not assume that bin servicing includes off-site hauling. Any requested waste tasks must be clarified in the scope before booking. The venue’s own instructions should guide the plan rather than a generic checklist.

Check the final handover responsibilities

Name a coordinator who can answer questions across vendors and a person who will review the completed cleaning. Give the venue handover deadline, entry arrangements and loading restrictions. If a task is unassigned, resolve it before the event; listing it on a cleaning form does not mean it has been accepted. Keep the confirmed responsibilities with the event schedule.

Keep this checklist

Your next steps

  • Cleaning: agreed areas and tasks.
  • Breakdown: furniture, decorations, equipment and rental owner.
  • Waste: on-site destination and collection responsibility.
  • Handover: deadline, access contact and reviewer.
