Short-term rental linens and supplies: a clear plan for each guest change

Separate guest linen changes, laundry, consumable restocking and personal items so rental turnover cleaning has a workable, agreed scope.

Separate changing linen from washing it

Putting a clean set on a bed and laundering the used set are different tasks. For each turnover, state whether the provider is changing linens only, washing on site or collecting laundry through an agreed arrangement. Confirm availability and price for each requested service. A washing machine in the property does not automatically make laundry part of the cleaning scope, and a cleaning appointment does not guarantee that every load can finish before the next arrival.

Create a host-approved linen list

List the beds in the accepted cleaning scope and the linen needed for each, plus the towels or other items you want prepared. Identify where clean stock is kept and distinguish guest supplies from personal belongings. Maintain a suitable reserve so the turnover does not depend entirely on one load being washed and dried during the visit. The number of spare sets is an operational choice based on your arrangement, not a universal requirement set by this article.

Explain the laundry constraints

Tell the provider whether machines are in the unit or in a shared facility, how access works and whether payment is required. Provide relevant care labels and identify items that need another process. Do not assume the cleaner can take personal host laundry, make an unapproved laundromat trip or pay unexpected costs. If a machine fails, the host should have an agreed contact and fallback. The cleaning team cannot promise to repair an appliance or restore damaged textiles.

Define restocking without authorizing unlimited purchases

Set the quantities and locations for accepted consumables, and identify who supplies them. Checking a shelf, placing items from stock and buying replacements are separate responsibilities. If supplies are missing, specify how the host should be notified. Avoid leaving an open instruction to buy whatever is needed without an agreed spending authorization. Food, toiletries and cleaning products should be handled according to their applicable instructions and the agreed scope, not improvised by the cleaner.

Keep the plan tied to the lawful stay

These logistics apply only to the hosting arrangement you are permitted to operate. NYC has specific short-term rental requirements and exceptions; consult OSE's current guidance rather than treating a linen service as confirmation of eligibility. For JPN, provide the bed and bathroom scope, clean-stock location, laundry setup and requested restocking tasks. Ask what can be accepted, what the host must prepare and how completion or missing supplies will be communicated before confirming the appointment.
